Terms of Service

Last updated: 21 September 2026

These Terms of Service (“Terms”) are an agreement between Fix2Bill (“we”, “us”) and the business that signs up to use Fix2Bill (“you”). They cover the Fix2Bill web portal and app, the customer QR lookup pages, the Partner API, and the related services we provide (together, the “Service”). By creating an account, starting a trial, subscribing or using the Service, you agree to these Terms. If you accept them on behalf of a business, you confirm you have authority to bind that business. Fix2Bill is for business use, and you must be at least 18.

1. Your account

1.1You must give us accurate information when you sign up and keep it up to date.

1.2You are responsible for keeping your login details secure and for everything that happens under your account, including the technician and admin logins you create within it. Tell us promptly at hello@fix2bill.com if you think someone has accessed your account without permission.

1.3Each person who uses the Service needs their own login. Sharing a login, or opening several accounts, to get around a plan's user limit is not allowed.

1.4In these Terms, “Customer Data” means everything you or your users enter into or upload to the Service, including your own customers' names and contact details, service addresses, jobs, quotes, invoices, equipment records, photos and notes.

2. Subscription fees

2.1Plans. Fix2Bill is offered on the plans below. Prices are as at the “last updated” date above; the price shown at checkout when you subscribe is the one that applies to you.

PlanPrice (AUD, excl. GST)Users
StarterFreeUp to 2
Pro$159 per monthUp to 8
Enterprise$249 per monthUnlimited

2.2User limits. You can't add more users than your plan allows. To add more, upgrade your plan. To move to a plan with fewer users, first remove enough users to fit within its limit.

2.3How fees are charged. Paid plans are charged monthly in advance, in Australian dollars, plus GST where it applies. We'll provide a tax invoice or receipt for each payment.

2.4Free trial. When you sign up for Pro or Enterprise, you get a 14-day free trial of that plan. We don't ask for payment details to start it, and we won't charge you automatically when it ends. Switching between Pro and Enterprise during the trial doesn't restart the 14 days. When the trial ends, access is paused until you subscribe (see section 13). Upgrading from Starter later on is charged as soon as you subscribe and doesn't include a new trial.

2.5Payment. You pay by card through Stripe Checkout. By subscribing, you authorise us, through Stripe, to charge your card for the plan you choose, now and at each renewal. Keep your payment details current.

2.6Upgrades and downgrades.

2.7Price changes. We may change our fees by giving you at least 30 days' written notice. A change applies from your next renewal after the notice period. If you don't accept it, you can cancel before it takes effect.

3. Renewal

3.1Paid subscriptions renew automatically each month on the same day you first subscribed. Each renewal is for the same plan, at the price then in effect, and your card is charged through Stripe on the renewal date.

3.2Your subscription keeps renewing until you cancel it (section 4) or it ends under these Terms. We may send renewal reminders, but we don't have to.

3.3The free trial doesn't renew into a paid plan by itself, and the Starter plan is never charged.

4. Cancellation

4.1You can cancel a paid subscription at any time. There is no lock-in contract and no cancellation fee.

4.2An admin cancels by switching the account to Starter in the Admin area under Subscription Plan (the account needs to be within Starter's two-user limit). This ends the paid subscription straight away: you move to Starter immediately and aren't charged again. Refunds are covered in section 5.

4.3If you want to close your account entirely rather than move to Starter, email us at hello@fix2bill.com from the admin's registered email address (see sections 15 and 16).

4.4We don't delete your Customer Data because you cancelled or downgraded. On Starter you keep your data, subject to the Starter plan's limits.

4.5If your subscription is cancelled in Stripe, or ends because a payment fails, section 13 applies.

5. Refunds

5.1Fees are non-refundable except where these Terms say otherwise or where the law requires a refund.

5.2If you cancel or move to Starter part-way through a billing month, we don't refund or credit the unused part of that month. If you upgrade, the unused part of your previous plan isn't credited either. We may make an exception at our discretion.

5.3If we charge you by mistake, or charge you twice, tell us as soon as you notice and we'll correct it and refund the amount.

5.4If we end the Service or your plan under section 15.3, we'll refund any fees you've paid for the period after it ends.

5.5Refunds go back to the card you paid with, through Stripe, and can take several business days to show up. Please contact us before raising a dispute with your bank so we can try to sort it out first.

5.6Nothing in this section limits any right you have under the Australian Consumer Law, including a right to a refund or other remedy for a major failure with a service.

6. Acceptable use

6.1You and your users must not use the Service to:

6.2Messages you send to your customers. When you send an SMS or email through Fix2Bill, you are the sender. You are responsible for complying with the Spam Act 2003 (Cth), the Privacy Act 1988 (Cth) and any other law that applies to those messages. In particular, you must have any consent the law requires before messaging a customer, use correct contact details, identify your business, and honour opt-out requests. Fix2Bill does not check whether you have your customers' consent. If you customise SMS templates, keep the opt-out instruction in them.

6.3If you break this section, we may remove content, suspend access, or terminate your account (section 15.2). Where it is reasonably practicable and safe to do so, we'll tell you first.

7. Customer data

7.1You own your data. As between you and us, you own the Customer Data. You give us a limited, non-exclusive right to host, copy, process, transmit and display it only as needed to provide, secure, support and maintain the Service, as described in our Privacy Policy.

7.2Your responsibilities. You are responsible for the accuracy and lawfulness of your Customer Data. You confirm you have the right to store your customers' details in Fix2Bill and to have us process them, and that you've given your customers any notices the law requires, including that you use tools like Fix2Bill, Xero and an SMS provider to run your business.

7.3What we do with it. We only access Customer Data to operate and support the Service, at your request, to keep the Service secure, or where the law requires. Each customer's data is kept separate from other customers' data. We don't sell Customer Data or use it for advertising. If we're legally required to disclose Customer Data, we'll tell you first where the law allows.

7.4Security. We use reasonable technical and organisational measures to protect Customer Data, including encrypted connections, hashed passwords and tenant-level data separation. If we become aware of a data breach affecting your Customer Data that must be notified under the Notifiable Data Breaches scheme, we'll tell you without undue delay so you can meet your own obligations. You are responsible for keeping your own login details secure.

7.5AI assistant. Messages you send to the in-app assistant are processed by a third-party AI provider to generate replies (see section 11). Don't put passwords, card numbers or other sensitive information into it. Its answers can be wrong, so check anything important before relying on it.

7.6Where data is processed. Some of our service providers are located outside Australia, so Customer Data may be processed overseas as part of providing the Service.

8. Backups

8.1We take regular backups of the systems that hold Customer Data so we can recover the Service after a serious failure. Backups run daily and are kept for 14 days.

8.2Backups exist for disaster recovery. They are not an archive of your records, and we don't promise to restore individual records, or restore your account to a particular point in time. If you accidentally delete something, contact us and we'll make reasonable efforts to help, but we can't guarantee recovery.

8.3You remain responsible for keeping your own copies of records you need to keep, such as records required for tax. Use the export options in section 16, PDF invoices and your Xero sync for this.

8.4Data you delete or ask us to delete stays in our backups until they expire (section 16.4).

9. Service availability

9.1We aim to keep Fix2Bill available and reliable, but we don't guarantee that it will always be available, uninterrupted or error-free. We don't offer an uptime commitment or service credits unless we've agreed otherwise in writing (for example with an Enterprise customer).

9.2We may carry out maintenance. We'll try to do planned maintenance outside normal business hours and to give notice where it's practical. We may carry out urgent maintenance or security work without notice.

9.3We're not responsible for downtime or degraded performance caused by things outside our reasonable control, including internet and hosting failures, and outages or changes at third-party services such as Stripe, Xero and our SMS and email providers (see sections 11 and 12).

9.4We may add, change or remove features over time. If we make a material reduction to the features of a paid plan, we'll give you reasonable notice, and you can cancel under section 4.

10. Support

10.1Support is by email at hello@fix2bill.com on Australian business days. We aim to reply within two business days. This is a target, not a guarantee. Enterprise customers' requests are prioritised, and any additional support terms are set out in a written agreement with them.

10.2Support covers help using the Service, reporting problems, and billing questions. It doesn't cover custom development, data entry or clean-up, problems with third-party software (such as your own Xero setup), or supporting your own customers, who should contact you.

10.3The in-app AI assistant can answer how-to questions, but it is not a substitute for support and its answers may be wrong.

11. Third-party services

11.1Fix2Bill relies on, and connects to, services run by other companies. Today these include Stripe (subscription payments), Xero (accounting, if you connect it), Mobile Message (SMS), an email delivery provider, an AI provider (Groq) for the in-app assistant, and our hosting and infrastructure providers.

11.2Each third-party service has its own terms and privacy policy, which apply when you use it. We don't control these services and aren't responsible for their availability, accuracy, security or changes.

11.3If you connect one of your own third-party accounts (such as Xero), you authorise us to access it as needed for the integration. You are responsible for that account and for any fees the provider charges you, which are separate from your Fix2Bill fees.

11.4We may change, replace or add third-party providers, as long as the Service keeps working substantially as described. Our Privacy Policy lists the providers that handle personal information.

12. Xero, Stripe and SMS dependencies

Some features can't work without these three services. This section explains what that means for you.

12.1Xero. The Xero integration is optional. If you connect it, we store encrypted access tokens (not your Xero password) and sync invoice and payment data to and from your Xero organisation.

12.2Stripe. Stripe processes your subscription payments. We don't see or store your full card number, and Stripe's terms and privacy policy apply to your payment details.

12.3SMS. Booking and job SMS messages are sent through a third-party SMS provider (currently Mobile Message), to Australian mobile numbers only.

12.4When a dependency is unavailable. If one of these services is unavailable or changes, we'll use reasonable efforts to restore the affected feature or offer an alternative. Unless the law says otherwise, that is your remedy, and an outage of a third-party service is not by itself a reason for a refund or credit.

13. If your subscription isn't paid

13.1Failed payments. If a renewal payment fails, Stripe may retry the charge and we may email you. Please update your card promptly.

13.2Suspension. If your subscription becomes past due or unpaid, is cancelled in Stripe, or your free trial ends without you subscribing, we may suspend access to the Service for all of your users. Suspended users see a payment page when they try to sign in. While your account is suspended, features stop working, including technician logins, sending emails and SMS, Xero sync, customer QR lookup pages and API access.

13.3Your data during suspension. We won't delete your Customer Data just because a payment failed or a trial ended. We'll keep it for 90 days after suspension (the “Retention Period”) so you can reactivate or ask for an export. We'll email the account admin before we delete it. After the Retention Period, we may delete it (see section 16.4 for backups).

13.4Getting access back. Once you subscribe or your payment goes through, access is restored, usually within minutes. If you'd rather move to the free Starter plan, contact us and we'll see what we can do (Starter has a two-user limit).

13.5You still owe what's due. Suspension doesn't cancel amounts you already owe us, and we don't refund fees for any period during which your account was suspended.

14. Intellectual property

14.1Ours. We own the Service, including the software, design, documentation, the Fix2Bill name and logo, and all intellectual property rights in them. These Terms don't transfer any of those rights to you.

14.2Your licence. While your account is active, we give you a limited, non-exclusive, non-transferable, revocable right to use the Service for your own internal business operations, in line with these Terms. API keys we issue are licensed to you only for the scope stated on the key.

14.3Yours. You own your Customer Data, and your business name, logo and branding. You give us the right to use and display them as needed to provide the Service, for example on your invoices, quotes, emails and QR lookup pages.

14.4Restrictions. You must not copy, modify or create derivative works of the Service, use it to build a competing product, or remove any ownership notices, except as the law allows.

14.5Feedback. If you give us ideas or feedback about the Service, we may use them without owing you anything.

15. Termination

15.1By you. You can stop using the Service at any time. To end a paid subscription, follow section 4. To close your account entirely, email us (section 4.3).

15.2By us, for cause. We may suspend or terminate your account immediately if you materially breach these Terms (including section 6), if your use is unlawful or fraudulent, if it puts the security or stability of the Service or other customers at risk, or if you dispute legitimate charges in bad faith. We may also suspend for non-payment under section 13. Where it's reasonably practicable and safe, we'll tell you first and give you a chance to fix the problem.

15.3By us, without cause. We may discontinue the Service, or a plan, by giving you at least 60 days' written notice. If you've prepaid for a period beyond the end date, we'll refund the unused part.

15.4What happens next. When your account ends, your right to use the Service ends and access stops. Fees you already owe stay payable. You can ask for an export of your data, and we'll delete your data, as described in section 16. Any sections that by their nature should continue (including 5, 14, 16, 17 and 19) continue after termination.

16. Data export and deletion

16.1Exporting your data. Parts of the app let you download or print your own data, such as PDF invoices and the inventory CSV export. You can also ask us for a full export of your Customer Data at any time. Email hello@fix2bill.com from the account admin's registered email address. We'll provide it in a common, machine-readable format (such as CSV or JSON), with photos and attachments in their original format, as soon as reasonably practicable and within 30 days. There's no charge for a reasonable request.

16.2After your account ends or is suspended. You can still ask for an export until the end of the Retention Period (section 13.3), or within 30 days after you close your account, whichever is later. Please ask before then.

16.3Deleting your data. You can ask us at any time to delete your account and Customer Data. We'll confirm the request comes from your admin, and then delete or de-identify the data within 30 days. Deletion is permanent and can't be undone, so make sure you've exported what you need first. If you do nothing, we'll delete the data of a suspended or closed account after the Retention Period.

16.4What may remain. Some information may remain after deletion:

16.5You also have rights to access and correct your personal information under the Privacy Act 1988 (Cth). See our Privacy Policy for how to exercise them.

17. Disclaimers and limits on liability

17.1Your legal rights. Nothing in these Terms excludes, restricts or modifies any right or remedy, or any guarantee, that you have under the Australian Consumer Law or any other law and that can't be excluded. Where the law allows us to limit our liability for a breach of such a guarantee, our liability is limited, at our option, to resupplying the services or paying the cost of having them resupplied.

17.2Use of the Service. Apart from those rights, and to the extent the law allows, we provide the Service as available and don't promise it will meet all your needs or be error-free. Fix2Bill is a tool. It doesn't give accounting, tax or legal advice. You are responsible for checking the amounts, tax treatment and content of the quotes, invoices and messages you create and send.

17.3What we're not liable for. To the extent the law allows, we are not liable for:

17.4Cap. To the extent the law allows, our total liability to you for all claims arising out of or in connection with the Service in any 12-month period is limited to the greater of (a) the fees you paid us in the 12 months before the event that gave rise to the claim and (b) A$100.

17.5Your responsibility. You are responsible for losses and third-party claims to the extent they are caused by your Customer Data, your breach of section 6, or messages you send using the Service without a lawful basis, and you'll compensate us for them.

17.6Nothing in these Terms limits liability that can't lawfully be limited, including for fraud.

18. Changes to these Terms

18.1We may update these Terms from time to time. For a material change, we'll give you at least 30 days' notice by email or in the app before it takes effect. If you keep using the Service after the change takes effect, you accept it. If you don't agree, you can cancel before then under section 4.

18.2We may make a change sooner where it's needed to comply with the law or to protect the security of the Service. Changes to fees are covered by section 2.7.

19. General

19.1Governing law. These Terms are governed by the laws of Victoria, Australia. Each of us submits to the non-exclusive jurisdiction of the courts of Victoria and the Commonwealth courts.

19.2Notices. We may give you notice by email to your account admin's address or by an in-app message. You can give us notice by email to hello@fix2bill.com.

19.3Whole agreement. These Terms, together with our Privacy Policy and any written agreement we've signed with you (such as an Enterprise order form), are the whole agreement between us about the Service. If there's a conflict, the signed written agreement prevails.

19.4Assignment. You can't transfer your rights under these Terms without our written consent. We may transfer ours to a successor to our business, and we'll tell you if we do.

19.5Events beyond our control. Neither of us is liable for a delay or failure to perform (other than paying money) caused by events beyond our reasonable control.

19.6If part of these Terms doesn't apply. If a provision can't be enforced, the rest of these Terms still applies. If we don't enforce a right straight away, we haven't given it up.
